We’re looking for a Bookkeeper/Administrative Assistant with a strong customer service and attention to detail game
This is an in-person (not remote) full-time role located in Westfield, Indiana.
The work is a hybrid role of bookkeeping combined with front office/administrative work, it is self-directed, and it requires an energetic self-starter with positive vibes, great completion skills, and serious attention to detail.
Compensation is $19.00 per hour plus benefits.
Hello! We are Insects Limited, we were founded in 1981, and we are a progressive and growing company that works within a niche area of the pest control industry. With 9 employees (you’d make 10!) and an emphasis on science, education, and innovation, we manufacture and sell products to assist food companies, museums, and other organizations protect their assets.

If you join us, you can expect to work closely with all facets of our small company and wear multiple hats. You will have the opportunity to work with international companies and many museums throughout the U.S. and around the globe. You will have close support from our team, including our finance manager and president, as you help us accomplish the following:
We need your help tracking accounts receivable and ensuring timely payments. There is plenty to do with this, so you’ll jump straight into the weeds here and have immediate impact.
We need your help clinching a consistent and best-in-class customer experience. You will be the first point of contact for customers and guests calling and visiting us at our HQ! Beyond being the first point of contact for our customers, we will also look to you to take phone-in orders, answer customer’s basic questions, and match customer needs to the best Insects Limited person/department for resolution.
We need your help ensuring timely communication and organization between our departments and with our customers. We want our operations to flow smoothly and part of that is making sure we are communicating with the appropriate folks in a timely manner, and we are organized with our files, invoices, mail, etc.
To give you a deeper sense of what you’re getting into, working alongside current team members, you will:
Track accounts receivable and ensure timely payment by creating invoices, communicating with customers regarding their invoices, posting payments from on-line orders, prepping daily billing, and printing monthly statements and invoices to be mailed to customers who are overdue.
Answer the phone and greet in-person guests, while providing a pleasant experience to all.
Meet customer needs by taking phone-in orders, responding to basic questions, and transferring customers to the appropriate person or department
Work with incoming and outgoing mail by opening and distributing mail appropriately, managing the postage meter refills and supplies, and taking the mail to the post office when needed.
Assist with special projects such as preparing marketing literature, preparing for conference hosting, and assisting with other areas of the business as requested.
Work with the sales and shipping departments regarding overdue customer accounts to avoid shipping products until invoices are paid.
Organize and file accounts payable and invoices daily.

You are a naturally driven, curious learner with basic knowledge of accounting principles, and strong attention to detail who wishes to grow with the company.
You have excellent customer service skills and strong ability to handle large assignments, manage large projects, and can pivot to a new or existing project when needed.
You are able to handle multiple projects simultaneously.
You are proficient in Word, Excel, and other basic computer Microsoft Office programs, and you have moderate QuickBooks Desktop experience.
You have excellent communication skills and are a great listener. You seek feedback, advice, and different perspectives from our team.

Minimum high school education or equivalentMinimum 2 years experience with Bookkeeping
