Our team works collaboratively with the client, architects and builders to run projects large and small on time and on budget.About the roleWe are seeking to hire an experienced Controller with experience in the design, architecture and/or construction industry to manage the financial data and compliance of our design studio, and become an important part of our team. This role is to perform a variety of financial oversight, accounting and bookkeeping tasks.The Controller is responsible for keeping financial records updated, preparing reports and reconciling bank statements, accounts payable and receivable, disbursements, expense vouchers and receipts, as well as handling payroll, and monthly client invoicing.Duties and Responsibilities: AP & AR, reports processing, tracking, and reportingProcess invoices, send to clients, and follow up for paymentPay invoices in a timely mannerTrack expenses, coding and entry in QuickBooks OnlineManage design team for time billing submissions and accuracyAssist Project Manager with timely and accurate job costing for labor charges, expenses, billing rates, fees and make changes and reclassifications as necessaryWork with Project Manager to properly setup and maintain projects, including contract fee, budgets and billing information into PM platform (currently IVY, but open to changing programs)Provide general accounting and financial support to the PrincipalPrepare and maintain accounting documents and records in QuickBooks and IVYPrepare bank deposits, general ledger postings and reimbursementsReconcile all bank and credit card accounts on a monthly basisReview and prepare sales tax reports and monthly financial statementsCoordinate payroll and HR – track staff attendance and vacation data as well as coordinating info and related paperwork for medical insurance plansAssist Purchasing Manager in ensuring accuracy of database of contacts, suppliers and vendors, and ensuring timely vendor paymentsLiaison with clients, design staff, Project Manager, and Purchasing Manager when necessary regarding purchase orders and client proposalsLiaison with CFO and CPA when necessaryQualifications/Skills: Bachelor’s Degree in accounting or finance8+ years of experience as a professional Controller, Accountant or BookkeeperPrior experience with multiple interior design, architecture or construction firmsPrior experience with Ivy and/or Studio Designer or Studio Webware idealMust be proficient in all bookkeeping phases digitally, QuickBooks Online etc.Excellent verbal, collaborative, and organizational skillsStrong analytical skillsAttention to detail to and problem solving skillsProficient in iOS and/or G-SuiteOverall aptitude to learn new softwareVery strong interpersonal skills to interact positively with all employeesPositive attitude, resilient, and self-awareJob Types: Part-time, ContractPay: $80.00 – $100.00 per hourSchedule:Monday to FridayApplication Question(s):How many years of interior design, architecture or construction industry experience do you have?Education:Bachelor’s (Required)Experience:Controllers: 8 years (Required)Work Location: One location
