Job Description : Job Title: Financial Aid Officer/CounselorAbout the Institution: The Virginia University of Integrative Medicine is the only accredited institution in Virginia, focused solely on advancing the profession of Acupuncture and Integrative Medicine through education. VUIM is a small, private, not-for-profit post-secondary institution of higher learning. We offer Post master’s certificates, master’s and doctoral degrees in the field of Acupuncture and Oriental Medicine on a quarterly basis. In addition, we currently teach classes in English, Korean and Chinese.VUIM has experienced a period of growth over the last three years, in part due to the adoption of alternative and complementary modalities of health and healing by the general public, but also because of its unique position in the market. We are affordable and committed to providing a superior education at a cost that is sustainable and allows the institution to continue to grow both in size and available resources.Job Summary: VUIM is seeking applications for a full-time Financial Aid Officer/Counselor position. The position will be salaried, with the expectation of working a full 40 hour week, Monday through Friday. There will be some flexibility in creating a schedule that works within the operation of the University. Some weekends and evenings will be required.The Financial Aid Officer at VUIM plays a critical role in the success of the organization by supporting student retention through effective communication, excellent listening skills, prompt follow-up, outreach, and attention to detail. The most important aspect of this position will be the effective use of time in advising students and processing their financial aid package each term. The Financial Aid Officer is the primary point of contact for running Satisfactory Academic Progress (SAP) reports each term and proactively reaches out to students in jeopardy of failing courses or who are working through Academic Probation or SAP issues.The individual chosen for this role will have great customer service skills, a passion for working with people, be industrious, have top-notch critical thinking and problem-solving skills, be enthusiastic, proactive, and be experienced in maintaining poise and integrity in challenging situations. The welfare of the student as a whole person is important in supporting student success and the Financial Aid Officer plays an advisory role and assures consistency and fairness in applying all policies and procedures. This position is a part of the larger Enrollment Management team and thus will require a person who is willing to complete tasks outside of the Financial Aid Officer job description at different times throughout the year.Responsibilities: Communicate with and maintain accurate records of contact with studentsProcess internal application requests for financial aidProactively advise all students regarding their financial aid status and packageGuide prospective/current students regarding types of financial and eligibilityOversee Satisfactory Academic Progress processing each termGenerate and analyze institutional reports on Enrollment (as required reporting to Dept. of Ed.), Financial Aid use, scholarships, SAP, etc.Prepare for and lead both yearly financial audits, as well as sporadic State, Federal, and Veterans Affairs auditsIdentify and report trends and patterns in student behaviors in relation to academic program progress/retention, graduation, and financial aid useEvaluate processes and procedures from the student perspective and from an efficiency perspective and make recommendations for improvementsWork collaboratively with all other staff members to develop and update appropriate student policies, seeking approvals from VUIM leadership when neededSupport the maintenance of a comprehensive student handbookCollaborate with the offices of Admissions, Student Services, Finance, the Registrar, and academic departments on day-to-day matters and in administering policiesAssist with the development of an institutional orientation program and program-specific orientation, as neededReview scholarship applications each termIdentify additional initiatives to support studentsPerform other duties as assignedQualifications: Positive, proactive, highly motivated, and flexibleAdvanced Excel userHigher education experience (preferred)Bachelors Degree (preferred); Experience as a college student requiredKnowledge and Experience working with degree requirements and student retentionCRM or database/data entry experience (FAME – Financial Aid Processing preferred)Conversational Korean language skills (preferred)Skills desired: Excellent communication skills, both written and verbalUnmatched attention to detailMicrosoft office (word, excel, PowerPoint)Ability to multi-task in a fast-paced environmentQuick learnerComplex problem solverOrganization and time management skillsWorking environment: VUIM prides itself on having a close-knit and vibrant community of individuals who work together to achieve the mission of the institution.
