Normal Work Schedule: Monday- Friday 8:00 am – 5:00 pm

Job Summary: Under limited supervision, assists the department head or director in the day-to-day operations of a program. Oversees the program support, general office, administrative and secretarial duties with some variety and complexity. Typical duties may include overseeing some aspects of the program, acting as the main liaison to other offices within the University as well as external contacts, maintaining budget records, supervising other support staff and-or students, arranging meetings-itineraries-agendas, typing a variety of material, compiling data and preparing reports, and purchasing office and program supplies and materials.

Additional Department Summary: This position performs highly responsible duties of a specialized and complex nature under limited supervision. Typical duties may include acting as the main liaison to other offices within the University community as well as external contacts, answering incoming calls/e-mails and responding to customer inquiries with assistance from other mail center staff, data entry into the mail center’s postage accounting system, preparing monthly data files for entry into the University’s Banner system, placing service calls on equipment, arranging meetings-itineraries-agendas, compiling data and preparing reports, purchasing office and operational supplies and materials, reconciling P-Card requests, and other duties as assigned. This position must become familiar with the entire mail center operation and the services that the operation provides to the campus community in order to effectively assist mail center customers.

Required Minimum Qualifications: High school diploma or the equivalent and three (3) years of general office experience; OR Associate’s degree and one (1) year of general office experience; OR a Bachelor’s degree.

Additional Required Department Minimum Qualifications: Must have Valid U.S. driver’s license. Must be at least 21 years of age and have an acceptable Motor Vehicle Report that is in compliance with University policies. Final candidates who are not current University of Alabama employees must submit to and successfully pass a post-offer drug screen.

Skills and Knowledge: The individual in this position must demonstrate excellent customer service on a daily basis and have the ability to multi-task effectively. Excellent organizational, communication and public relations skills, professional demeanor, ability to manage multiple priorities, proficiency in Microsoft Office applications (particularly Word, Excel and Outlook), knowledge of and experience with database management applications.

Preferred Qualifications: Experience with electronic database management, UA BANNER system and familiarity with UA Procurement Services/Purchasing Policies.
