Job Description : MacElree Harvey, a well respected mid sized law firm, is seeking an experienced Financial Administrator for their West Chester, PA location.Primary Purpose of Position: Primary responsibilities include providing overall strategic financial direction for the firm and supervising all accounting and finance matters. Responsible for recommending firm-wide financial objectives and policies and for implementing programs and practices of the firm to enhance its financial structure and financial results.Essential Functions and Responsibilities: Assists in the preparation all monthly financials to summarize and forecast the firm’s financial position.Maintains banking relationships to secure financing for the firm and partnership.Implements and maintains budgets, variance analysis and cash flow projections to meet cash requirements, payroll cash requirements and online transfers.Handles profitability and marketing analysis budgets for all attorneys.Maintains Revenue and Expense budget for the Executive Committee to follow variances and implements spending procedures for effective cost saving.Handles month-end/year-end closings and related journal entries for law firm and partnership.Accounts Payable responsibilities include researching stale dated checks in operating and trust accounts, filing unclaimed property reports, year-end 1099s, W-9s, enters manual checks for Kennett Square and DE check books, reconciles all bank statements and month-end closing of Accounts Payable.Responsible for covering Billing, Payroll/Accounts Payable and Accounts Receivable Administrators.Handles tax reporting for real estate taxes (county, borough, school) and wage taxes for Philadelphia and Delaware.Handles all firm and partnership bank reconciliations and related journal entries.Applies for Business Privilege licenses including Delaware.Assists with rent roll, enters invoices, processes payments, deposits rent checks and maintains security deposits.Assists with operating expenses for property and invoice tenants for prorate share of operating expenses.May assist with analyzing, forecasts and interprets financial data to ensure cost-effective management for construction projects.Assists with construction quotes for cash flow purposes and AIA forms to receive draw down from revolving line of credit, prepares maintenance schedules for budget purposes, makes recommendations for maintenance and new renovations.Position Specifications: Bachelor’s Degree in Business or Finance or equivalent experience is required.A minimum of 10 – 12 years of progressive experience in finance and accounting with at least 5 years in a law firm required.Computer skills including Excel, Word and TABs software required.Strong knowledge of general accounting procedures, systems, terms, concepts and policies.Familiarity with general ledger, general journal entries, cost accounting, fixed asset accounting, accounts receivable and accounts payable.Knowledge of accounting for law firm operations, including time and billing systems, alternative billing methods, collections procedures and cost recovery guidelines.Proficient with financial controls, budgeting, financial reporting, cash flow analysis and variance analysis including methods of financial analysis, calculating and interpreting various financial ratios and analyzing comparative financial information.Strong leadership, management, and organizational skills and a drive to achieve excellent results.Ability to lead and participate in a team environment with the ability to maintain high degree of motivation in team members to provide high level of customer satisfaction.Monitors and conducts performance discussions and evaluations for direct reports.Excellent verbal and written communication skills and the ability to work collaboratively with attorneys, staff and administration to achieve results.Experienced with payroll and tax and reporting requirements.Familiar with features and capabilities of automated financial management systems (TABS).Knowledge of trust accounting procedures and regulations, banking/investment concepts and types of accounts.Job Type: Full-timeBenefits:401(k)401(k) matchingDental insuranceFlexible spending accountHealth insuranceLife insurancePaid time offVision insurancePhysical Setting:OfficeSchedule:Monday to FridayApplication Question(s):Please list your salary requirements.Work Location: One location
