Job Description : POSITION DESCRIPTION: DIRECTOR OF FINANCE AND ADMINISTRATION The Wendt Center for Loss and Healing, a non-profit, outpatient mental health center specializing in grief and trauma, is currently seeking an experienced director to join our senior leadership team.STATUS: Full-time, exempt, senior staff positionREPORTS TO: Executive DirectorPRIMARY FUNCTION: Responsible for the financial and administrative management of the organization. Oversees finance, administration (including HR and IT) and insurance billing departments. As a member of the senior team, provides leadership and fiscal, operational, and administrative strategy to the organization.RESPONSIBILITIES: Finance Maintains finance and accounting department in accordance with established internal controls, policies and procedures and GAAPDevelops and manages accounting policies and procedures and internal finance processesMonitors spending in accordance with budget, working closely with department and program directors on burn rate, spending patterns, etc.Serve as primary liaison with external accounting firm in their work to include the following: o Tracking of agency expenditures and receipts and accurate allocations for multiple programs and funders o Preparation and implementation of organization’s annual operating budget o Cash flow projections and recommendations o Preparation and submission of bi-weekly payroll through ADP o Preparation of monthly and quarterly financial grant reports, back up materials, invoices, etc. o Preparation of all DC and federal agency returns as required o Preparation of the annual audit and federal grant audits when required (A-133)Serves as grants point person regarding financial compliance to include o Submission of monthly and quarterly financial grant reports o Working with department and program heads to prepare and implement all budgets for grants and funding proposals o Tracking of financial reporting requirements for funders and ensuring accurate financial reporting and funder complianceOversees, reviews and approves payroll to assure accuracy and related tax obligations and reporting such as quarterly Tax Form 941Prepares and manages agency contracts including grant contractsServes as primary system administrator for ADPHuman Resources Evaluate and revise internal employment and HR policies, procedures, and processesProvide guidance and accountability for compliance with organizational policies and proceduresStay abreast of changes in the field and forecast policy and procedure revisions to ensure compliance with federal, state, and local regulationsEvolve and coordinate the compensation and benefits programs as appropriateWork with the Management Team to develop a staffing plan that aligns with the needs, vision, direction, diversity of the Wendt CenterRecruit, screen, and oversee interview process for all prospective employees and position announcements in partnership with relevant supervisorsMaintain system for on-boarding and off-boarding of employeesMaintain system for professional development and performance evaluationsSupport staff and supervisors in handling performance issues, grievances, and other HR related concerns and issuesInformation and Technology Systems Maintain and implement IT policies and proceduresWork with external IT firm to provide for the effective design and maintenance of the Wendt Center’s computer and telecommunications networksLead the team in the selection, implementation and proper utilization of technology solutions to support the agency’s needsWork with IT consultants and vendors in the delivery of IT goods and services (including VOIP system)Administration Provides oversight for organizational risk management/ liability reduction via implementation of a robust insurance package (liability, umbrella, etc.)Supervises Office Manager in their work in overseeing Front Desk operations (client customer service, copay collection, insurance verification, etc.)Supervises Office Manager in their work overseeing Office Management (maintenance of office space, building and external vendors, procurement of supplies, etc.)Supervises Billing Manager in their work overseeing and implementing client insurance billing, maximizing revenue and minimizing claim denials, and improving processes for collections and statementsOversees facility leases, construction, renegotiations, etc. related to maintaining adequate office space required to achieve agency goalsQUALIFICATIONS AND ATTRIBUTES: Minimum 10 years non-profit finance experience in the areas of budgeting, managerial financial reporting, and grant reporting and administration requiredMinimum 5 years of experience with HR and IT requiredExcellent computer and database management skills; proficiency with accounting software and spreadsheets requiredAbility to manage extreme amounts of detail while being strategic requiredExperience on a leadership team preferredExcellent interpersonal skills and a collaborative management styleCareful attention to detailAbility to understand and uphold the Center’s philosophy, mission and values.Ability to maintain strict confidentiality and comply with HIPAA regulations.Ability to demonstrate the Wendt Center values;
